Day Of Package

 

Planning & Preparation:

  • Review layout, event set up and floor plan.
  • Provide full wedding checklist
  • Assistance in menu & signage)
  • Secure hotel room block
  • Review of contingency plan.
  • Direct and coordinate wedding rehearsal (1 hour)

 

Vendor Selection & Coordination:

  • Review all vendor services and contracts, identify and fix conflicts to ensure accurate delivery of services and products.
  • Collect all vendor liability insurances for venue.
  • Review & proof banquet event order provided by catering manager.
  • Venue walk-through meeting to review and meeting with on-site representative to discuss layout, event setup and floor plan diagram (1 per location).
  • Develop detailed event schedule and distribute to all vendors and venue 10 days prior to event.

 

Day of Service:

  • Supervise and manage your wedding day from start to finish (10 hours)
  • Confirm bridal suite/accommodations.
  • Coordinate and assist in setup of ceremony and reception.
  • Setup important items such as seating cards, table numbers, guest book, gift/card table, toasting flutes, cake knife, ceremony items and any other specific details for your wedding.
  • Manage delivery and setups of all vendors & act as main point of contact for all vendors the day of.
  • Ensure tables are organized and arranged as designated including centerpieces, decorations and venue layout is setup as directed.
  • Assist with distribution and pinning of all corsages, boutonnieres and flower baskets.
  • Oversee your wedding day is transcending in schedule as written on the timeline.
  • Assist Officiant and orchestrate ceremony by lining up and guiding wedding party for processional.
  • Greet, assist, and direct guests to ensure smooth transition of events, give information as needed.
  • Act as liaison with caterer to ensure timing of appetizers and meal service.
  • Work in synergy with DJ to ensure smooth transition of reception activities including Grand Entrance, First Dance, Toast, Dinner, Cake Cutting, Bouquet Toss, Grand Exit etc.
  • Work behind the scenes and closely with all vendors throughout the wedding (music, catering, photographer, videographer, photo booth, venue manager)
  • Provide Valley Girl Events wedding day emergency kit.
  • Distribute final payments to vendors (envelopes to be provided prior to event).
  • Gather all keepsake items at end of reception
